Privacy notice
How ZuluWorks AI collects, uses and protects personal information, and the rights you have under the Protection of Personal Information Act, 2013 (POPIA).
Prepared for owner and legal review. Items in [brackets] must be completed by the owner before publication. This document is a drafting aid, not legal advice.
1. Who is responsible
ZuluWorks AI [registered name / trading entity: ______], [registration number, if applicable], of [street address, city, South Africa] is the responsible party for personal information processed through this website. Information officer: [name] · [email] · [telephone].
2. What we collect
- Details you submit in the contact form or assessment follow-up form: name, email address, business name, the message you write, and (for the assessment) the answers you give about administrative workload.
- Technical information generated when you visit: the pages requested and the time of the request, recorded by our hosting provider.
We do not ask for identity numbers, bank details, passwords or special personal information. Please do not submit such information.
3. Why we use it, and our lawful basis
- To respond to your enquiry and provide a proposal — on the basis of your consent and our legitimate interest in responding to a business enquiry.
- To prepare and discuss the results of the opportunity assessment you choose to complete — on the basis of your consent.
- To keep a record of enquiries for administrative and legal purposes — on the basis of our legitimate interest.
We do not sell personal information, and we do not use it for unrelated marketing without your separate consent.
4. Who else is involved
We use service providers who process information on our instructions: [Cloudflare, Inc. — hosting, content delivery and database], [email delivery provider], and [analytics provider, if any]. Some of these providers process information outside South Africa. Where that happens, the transfer is governed by section 72 of POPIA and appropriate contractual safeguards.
5. How long we keep it
Enquiries and assessment submissions are kept for [retention period, for example 24 months] from the date of last contact, after which they are deleted or irreversibly de-identified. Records we must keep for legal or tax purposes are kept for the period the law requires.
6. Your rights
You may ask us to confirm what personal information we hold about you, to correct or delete it, or to stop processing it. You may also withdraw consent at any time. Send requests to the information officer above. If you are not satisfied, you may complain to the Information Regulator (South Africa) at inforegulator.org.za.
7. Cookies and measurement
This website does not set advertising cookies. [If analytics is enabled, describe the tool, the data collected and the cookie names here, and offer an opt-out.]
8. Security
Information is transmitted over encrypted connections and stored in access-controlled systems. Access is limited to those who need it to respond to you. No system is perfectly secure, but we take reasonable technical and organisational measures as required by POPIA.
9. Changes to this notice
We may update this notice. The current version always appears on this page, with the date shown above.
